Privacy Policy

Akkountable exists to handle your most sensitive business information — so privacy is not a footnote here; it is how the product is built. This policy explains what we collect, how it is protected, and what happens to it.
What we collect
Account information (name, email, password hash); the financial documents you upload (bank statements, credit card statements, sales reports, invoices, and similar); the accounting records derived from them (transactions, categories, journal entries, reports); and standard technical logs needed to operate and secure the Service.
How your documents are protected
Original documents are stored in encrypted, private object storage. They are never publicly accessible; access requires your authenticated session and is served through short-lived signed links. Each business's data is isolated at the database level with row-level security — one business can never read another's documents, transactions, or reports.
AI processing and sensitive-data masking
We use third-party AI model providers to read documents and suggest classifications. For text we extract from documents, the Service detects and masks sensitive identifiers — bank account numbers, card numbers, Social Security numbers, routing numbers — keeping at most the last four digits needed to match statements to accounts, and real account numbers are represented internally by application-generated tokens. Scanned documents (PDFs and photos) must be read by the AI provider to be extracted at all, so those files are transmitted to the provider as-is over encrypted connections; any identifiers they contain are masked in everything we store and process afterwards. We use API access under terms where providers do not train their models on your data. Application logs reference internal IDs, never document contents or full account numbers.
What we never do
We do not sell your data. We do not share it with advertisers. We do not use your books for any purpose other than providing the Service to you. Team members you invite see your business only with the role you grant, and every material change is recorded in an audit trail you can inspect.
Retention and deletion
Financial records have legal retention value, so documents and books are kept while your account is active. If you close your account, you may export everything first; we then delete your data within a reasonable period, except where retention is required by law. Because original documents serve as financial evidence, deletion of individual documents that support posted accounting records is deliberately restricted while the account is active.
Service providers
We rely on a small set of infrastructure providers to run the Service: cloud hosting, database and storage, and AI model APIs. Each processes data only as needed to provide their service to us and is bound by their own security commitments.
Your rights
You can view your data at any time from within the Service and export your reports and transaction history as CSV or Excel from the Reports and Transactions pages. For a complete copy of everything we hold, or to delete your account and its data, email us at hello@akkountable.co from your account email — we complete deletion requests within 30 days, except where retention is required by law. You can correct records in the Service at any time. Depending on where you live, you may have additional statutory rights; contact us and we will honor them.
Changes and contact
